The Accounts Payable and Payroll Specialist maintains and supports the payroll processes and all aspects of accounts payable, ensuring that all deadlines are met with the highest degree of accuracy. This position is located near the Portland airport and will be a full-time position, Monday – Friday.  Those that move forward in the interview process will be immediately informed of the Company information.


  • Processes weekly multi-state payroll and performs payroll-related functions including but not limited to processing new hires, termination status changes, tax changes, wage garnishments, deductions, and direct deposit
  • Reviews and verifies payroll data in a timely manner, calculates overtime and other pay premiums, and enters payroll data
  • Prepares manual checks as necessary
  • Oversees maintenance of payroll records and files including but not limited to sick time and vacation and other accrued leave
  • Responds to routine inquiries concerning payroll deductions and accruals, wage garnishments, child support payments, and employment verifications
  • Posts journal entries and prepares month-end reports
  • Assists with the development and implementation of payroll and accounts payable practices, policies, and procedures
  • Prepares all approved invoices for payment; processes all company payments in a timely manner
  • Interfaces with appropriate departments to secure proper payment approvals
  • Oversees maintenance of accounts payable files and records
  • Prepares 1099s
  • Responds to all vendor and employee inquiries regarding invoices, expenses, and check requests; resolves invoice discrepancies
  • Processes and oversees expense reimbursement and reporting
  • Analyzes and tracks accounts payable amounts; prepares analysis of accounts as required
  • Assists with related special projects as required
  • Performs other related duties as assigned by management


  • The ideal candidate will have a Bachelor’s in Business Administration and 2-3 years of experience processing multi-state payroll

  • Acute attention to detail
  • Demonstrated ability to calculate figures and amounts such as discounts, interest, commissions, and percentages
  • Ability to prepare reports and business correspondence
  • Proficient on QuickBooks and Microsoft Excel
  • Experience on ADP Workforce Now, preferred
  • Excellent written and oral communication skills
  • Ability to understand and follow written and verbal instructions
  • Ability to deal effectively with a diversity of individuals at all organizational levels
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow
  • Ability to work independently and as a member of a team
