Payroll Specialist

JOB SUMMARY

The Payroll Specialist is responsible for supporting the payroll department in ensuring that employees are paid accurately and timely in accordance with Holland Partner Group’s Core Values. The individual in this role works under indirect supervision with limited decision-making authority.

ESSENTIAL JOB FUNCTIONS

  • Prepare and support the weekly and semi-monthly processing and transmittal of payroll.
  • Ensure new hire, transfers, job changes and termination data are accurate, complete and submitted timely for each pay cycle.
  • Serve as a resource for employees regarding payroll questions and respond in a timely manner.
  • Assist employees with changes to direct deposit, tax withholdings, address changes, etc.
  • Responsible for employee self-service training, including course compliance.
  • Responsible for troubleshooting system access issues for employees.
  • Administration of online Time and Labor system, including reporting of timecard compliance issues such as missed meal periods and unapproved timecards.
  • Prepare Expense reimbursement files for semi-monthly payroll processing.
  • Prepare Sales program commission files for semi-monthly payroll processing.
  • Prepare Sales program bonus files for monthly payroll processing.
  • Prepare and maintain standard and ad hoc payroll reports, queries, and conduct appropriate audits to ensure data integrity.
  • Prepare all payroll related accounting items in a timely manner.
  • Process and calculate outside support orders, wage garnishment requests or judgments.
  • Respond to written and verbal requests for verification of employment.
  • Scan, file and distribute incoming and outgoing departmental mail.
  • Collaborate with other departments/managers to help improve efficiencies when needed.
  • Maintain established internal and outside controls, as well as provide feedback when needed.
  • Assist with internal and external audit requests when needed.
  • Maintain a positive relationship with all staff to ensure excellent customer service to both internal and external customers.
  • Represent Holland Partner Group in a professional manner at all times.
  • Perform all other duties as directed and assist the overall team effort in any way possible.

JOB REQUIREMENTS

Education: High School Diploma or equivalent is required.

Experience: Minimum three years of payroll experience required.

Knowledge, Skills and Abilities Required:

  • General knowledge of state and federal wage, tax laws and overtime requirements.
  • Ability to accurately perform multiple tasks in a complex and fast-paced operating environment while maintaining a strong attention to detail.
  • Demonstrated proficiency in the use of Microsoft Office products required.
  • Intermediate Excel skills level or higher is required.
  • Demonstrated high level of skill in both verbal and written communication.
  • Ability to accurately perform basic to intermediate mathematical functions.
  • Must be highly organized with exceptional attention to detail.
  • Ability to work effectively with all levels of employees while inspiring respect and credibility.
  • Must be proactive, flexible, responsible, and resourceful.
  • Ability to maintain high level of confidentiality.
  • Strong customer service orientation.

Attendance: This full-time position requires regular and punctual attendance compliant with the schedule set to meet company needs. Additional hours or overtime may be required.

This position also requires:

  • Ability to lift or move up to 20 pounds.
  • Hearing and visual ability to observe and detect signs of emergency situations.
  • Fluency in English both verbally and non-verbally.
