Pension & Retirement Plans Analyst

Overview:

The Pension and Retirement plans Analyst will be responsible for administration activities and serves as a primary pension and retirement plans resource for Northwest Permanente employees. Using experience and knowledge of ERISA/IRS/DOL/PBGC related laws and regulations, this position will provide best practice advice and operational improvement recommendations. Daily duties may include pension and retirement plans administration, implementing and conducting audit procedures, customer service, reconciliation of Post Retirement benefit plan bills, reconciliation of Defined Contribution plan employer and/or employer contributions, and support management of vendor relationships.

Responsibilities:

Major Responsibilities / Essential Functions

Retirement program activities

  • Represents pension department in new hire onboarding associated with pension and retirement plans orientation.
  • Track years of service from date of hire, tracking all Kaiser Permanente entity transfers and obtaining all prior service documentation as needed from associated KP regions.
  • Monitor compliance of pension and retirement plans and recommend necessary changes: annual filings, file feeds, plan documents, and other legal communications as required by IRS and DOL.
  • Subject matter expert on pension and retirement plans for employees, vendors, recordkeeper, plan managers, auditors, etc. Administration of all pension and retirement plans, ensuring accurate eligibility dates and timely employee and employer contributions to retirement plans.
  • Oversee Defined Contribution plan loans, rollovers distributions, installments, etc.  Responsible for obtaining required documentation.

Post-retirement benefit activities

  • Assist in annual Post Retirement Benefit open enrollment process by participating in vendor meetings, internal communications, updating new election and providing customer service.
  • Assist in Post Retirement Plan Benefit administration activities such as updating address change and coverage when moving out of area, retiree death, calculate annual retiree cost spreadsheet, create retiree annual cost statements.
  • Responsible for providing accurate retiree date to independent actuary.
  • Oversee Emeritus Group annual retreat and quarterly virtual meetings.

Reconciliation and plan maintenance

  • Responsible for timely reconciliation between Payroll and NWP Recordkeeper for both employee and employer plan contributions.
  • Work collectively with Payroll to ensure the proper deductions are taken for final pay processing.
  • Work collectively with HRIS to ensure all annual pay codes are updated accurately and functioning as intended.
  • Oversee all contributions via payroll, auditing to ensure all employee and employer contributions are within designated annual limits per federal regulations.
  • Work collectively with Accounting to ensure proper reconciliation and documentation in timely manner. Responsible for reconciling discrepancies and determining solutions to resolve issues. Responsible for pension and retirement plans related audits.

Qualifications:

Minimum Education

  • Bachelor’s degree in Human Resources, business or related field, or equivalent education and experience

Minimum Work Experience

  • Minimum three (3) years of experience in Pension & Retirement Plan administration, Benefits administration, Payroll or HRIS

Additional Requirements

  • Proficient with MS Excel
  • Strong analytical skills with attention to detail
  • Working knowledge of policies, procedures and employment law , such as ERISA and Annual Addition Limits.
  • Excellent interpersonal and customer service skills required. Ability to develop and maintain positive working relationships with both internal and external stakeholders. Ability to work cooperatively, sensitively and tactfully while maintaining professionalism with all levels of staff.
  • Extensive knowledge and familiarity of HRIS systems/benefit tracking systems, including automated file transfers to vendors.
  • Work with minimal guidance and escalate issues as appropriate
  • Communicates in a clear and understandable manner; exercises independent judgment.
  • Demonstrated excellence in organizational skills, problem-solving and follow through while working accurately with details and coping with frequent interruptions.

Physical Requirements and Work environment

  • This job is performed in a combination of remote and normal office environments
  • Must be able to talk, listen and speak clearly on a telephone
  • Must be able to constantly operate a computer and other office equipment such as a copy machine, printer, scanner

Required Licensure, Certification, Registration (LCR)

Within first two (2) years, begin Pension or Benefits certification such as

  • Certified Employee Benefit Specialist (CEBS)
  • Qualified 401(k) Administrator (QKA)
  • Qualified 401(k) Consultant
  • Qualified Pension Administrator (QPA)
  • Certified Pension Consultant (CPC)

Preferred Education

  • Bachelors degree in Human Resources, Business or related field

Preferred Work Experience and Qualifications

  • Minimum five (5) years in pension, benefits, or payroll
  • Experience with Pension and Retirement Plans to include Defined Contribution plans, Cash Balance plans, Supplemental Retirement Plans and 401(h) plans.
  • Knowledge of pension and retirement plans plan valuation and plan designs
  • Experience in pension or benefit administration
  • Experience with Ultimate Software (UKG)
  • Experience in and understanding of PBGC, ERISA compliance
